Privacy Policy

Paper Palate [Doing Business As] ("we", "us", "our") is committed to protecting your personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws. This policy explains what we collect on paperpalate.ca (the "Site"), why, and your choices.

1. Information We Collect

Information you provide:

  • Order & account information: name, business name, email, phone, billing and shipping addresses, order history, and communications with us.
  • Artwork & files: logos, designs, images, and text you upload for production ("Customer Content"). These files may contain personal information. Upload only content you have the right to share.
  • Payment information: payments are processed by third-party payment processors. We receive confirmation of payment and limited card details (e.g., last four digits, card type); we do not store full card numbers on our servers.

Information collected automatically:

  • Device and usage data such as IP address, browser type, pages visited, and referring URLs, collected via cookies and similar technologies (see Section 6).

2. How We Use Your Information

We use your information to:

  • Process, produce, ship, and support your orders;
  • Send transactional emails (order confirmations, proofs, shipping notices);
  • Archive order files to facilitate reorders (see Section 4);
  • Improve the Site, our products, and customer service;
  • Prevent fraud and enforce our Terms & Conditions;
  • Send marketing emails only with your consent, which you can withdraw at any time via the unsubscribe link (per Canada's Anti-Spam Legislation, CASL);
  • Display customer names/logos in our showcase as described in our Terms & Conditions, with an easy opt-out (Section 7 of the Terms).

We do not sell or rent your personal information.

3. Sharing Your Information

We share personal information only with service providers who need it to perform services for us, under appropriate protections:

  • Payment processors (to process payments);
  • Shipping carriers (name, address, phone for delivery);
  • Website hosting, e-commerce (WooCommerce/WordPress), email, and analytics providers;
  • Production subcontractors, if any, solely to fulfil your order;
  • Professional advisors, or authorities where required by law.

Some providers may store or process data outside Canada (e.g., in the United States); where they do, your information may be accessible to authorities in those jurisdictions under their laws.

4. Retention & Data Archives

  • Order records are kept as long as needed for business, tax, and legal purposes (generally [7] years for financial records, as required by the CRA).
  • Uploaded artwork and production files may be archived for up to [24] months to make reorders easy, then deleted. Archiving is a convenience, not a backup service.
  • You may request earlier deletion of your artwork files at any time (see Section 8). Note that deletion may make exact reorders impossible, and we may retain records we are legally required to keep.

5. Security

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including SSL/TLS encryption on the Site and access controls. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security. In the event of a breach creating a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by PIPEDA.

6. Cookies & Analytics

The Site uses cookies and similar technologies for cart functionality, login sessions, preferences, and analytics [e.g., Google Analytics]. You can control cookies through your browser settings; disabling essential cookies may break checkout functionality.

7. Children

The Site is intended for business and adult customers. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.

8. Your Rights

Subject to legal exceptions, you may:

  • Request access to the personal information we hold about you;
  • Request correction of inaccurate information;
  • Withdraw consent to marketing at any time;
  • Request deletion of your account, artwork files, or other personal information we are not legally required to retain;
  • Opt out of our customer showcase (name/logo display) at any time.

To exercise any of these rights, contact our Privacy Officer at privacy@paperpalate.ca. We will respond within 30 days. If you are unsatisfied with our response, you may contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).

9. Third-Party Links

The Site may link to third-party websites. Their privacy practices are their own; we are not responsible for them.

10. Changes to This Policy

We may update this policy from time to time. Material changes will be posted on this page with a revised "Last updated" date.
